Any GSX exhibitors or sponsors planning a meeting or event alongside GSX 2026 must register and receive written approval from ASIS International prior to promotion, contracting, or implementation.
Definition
An ICW event is any meeting or function held adjacent to GSX 2026 by an organization other than ASIS International HQ. Approval is required regardless of location.
Permitted ICW Examples
Not Permitted
- Events hosted by organizations not supporting GSX or ASIS through exhibiting, sponsoring, advertising, or affiliation
- External education programs without prior approval
- Content resembling official ASIS or GSX programming without written consent
- Use of the ASIS or GSX logo’s in any promotion without prior approval
- Sponsorship of or support for non-approved ICW’s.
Approved Dates/Times
ICWs may be held during these dates/times:
- Saturday, 12 September: all day
- Sunday, 13 September: after 6:30 pm
- Monday, 14 September: before 8:30 am, after 5:00 pm
- Tuesday, 15 September: before 8:30 am, between 5:00 pm – 6:30 pm, or after 9:00 pm (ASIS Celebrates is held this evening)
- Wednesday, 16 September: before 8:00 am, after 2:00 pm
No ICWs may be held in any portion of the Georgia Aquarium at any time.
Logistics, Promotion, and Branding
- Approved ICW hosts will receive an official GSX 2026 ICW logo for marketing use.
- Promotional materials must not imply endorsement or inclusion as an official GSX activity.
- Use of ASIS or GSX trademarks or logos (other than the provided ICW logo) is prohibited without prior written consent.
Financial Responsibility
All costs associated with the ICW event (e.g., food and beverage, audiovisual equipment and labor, meeting room rental) are the responsibility of the sponsoring organization or individual.
Rules & Compliance
ICW organizers must adhere to the ASIS Code of Conduct, applicable safety laws, and all GSX scheduling restrictions. GSX organizers reserve the right to review ICW events for compliance.
Non-Compliance
Unapproved or non-compliant events may be cancelled, shut down, and may affect future participation or priority point standing at GSX.
